Pembee Reports
There are various reports available in the Pembee Admin area. Below is a detailed description of each report.
This guide will cover
Activity Sales Report
This report provides a detailed view of sales by activity or by session within a specified date range. It can help you understand which classes are performing well and which may need additional marketing efforts or schedule adjustments.
It is based on how many tickets have been sold for each session, and the monetary value of that ticket, plus any add-ons. If the ticket applies to all sessions, the monetary value of that ticket will be pro-rata applied to this session. Subscription tickets and the monthly subscription fees are not allocated to any session (given one subscription can be used for multiple activities).
Please note the monetary value in this report does not take into account any uses of camp passes or account credits deducted. You should not rely on this report for any financial reporting, such as year-end tax filing.
You can toggle between Activities vs. Sessions by clicking on the relevant tab within the report.
Sales Report by Activities
Each row represents an activity. You will be able to see the number of sessions in the activity, the place limit for each session (it will show as a range if each session has different place limits), and the average places sold per session (which includes both tickets and subscriptions).
Sales Report by Session
Each row represents a session. You will be able to see the place limit for each session. Tickets sold include only single-session or all-session tickets.
Sessions Booked Report
The Sessions Booked Report offers a snapshot of all attendees booked for a particular date range, along with their check-in/ check-out status. You can further filter for specific activities or venues, or attendee's check-in/ check-out status.
Monthly Revenue Report
The Monthly Revenue Report breaks down your revenue by month, based on the booking completion date. You can use this report for financial reporting.
- Bookings using account credits are not included in the monthly sales report. This is because account credit reduces the total balance of the booking. If the booking is partly paid by account credit, only the portion that requires payment gets included.
- When users purchase the camp pass, the amount they paid will be included in the monthly sales report. Any subsequent bookings paid by camp passes would have a total balance of 0 so won't be included in the monthly sales report.
Impact of Cancellations on Monthly Revenue:
When you view your Monthly Revenue Report in Pembee, it is important to note that cancellations will affect the revenue figures for the month in which the original booking was completed, not the month in which the cancellation occurred. Here's an example to illustrate this:
Imagine you have a booking that was completed in May 2023, totaling £100. This amount is included in your May 2023 Monthly Revenue Report, contributing to that month's earnings. Now, if the customer decides to cancel a part of this booking in June 2023, and they receive a refund of £20 for the cancelled session, the revenue for May 2023 will be retrospectively adjusted.
This means that the May 2023 Monthly Revenue Report will show a decrease of £20 to reflect the refund. The report for June 2023 will not show this reduction; instead, it will only include revenue from bookings completed in June. Therefore, even though the cancellation and refund happened in June, the financial impact is recorded in May's revenue to accurately represent the earnings for that booking.
Impact of Bookings with Outstanding Balance:
This report will include all bookings regardless of whether there is an outstanding balance. You should always try to balance the booking by recording a payment (in which case will not impact the Monthly Sales report), or adding deductions to bring down the total balance to pay (in which case the Monthly Sales get reduced for that month).
